Project-based or retainer: which one is right for your business?

Both models serve a purpose. Here is how to decide which one fits where you are right now.

Most businesses start with a project. A logo, a website, a pitch deck. It is a clean transaction: scope, price, delivery. No commitment beyond the work.

Then something shifts. The brand is live and performing. New needs arrive faster than a project brief can keep up with. The social posts need polish. A conference is coming up. An investor deck needs refreshing. Each one is small but together they take more time than any founder has.

That is when a retainer starts to make sense.

A retainer is not a subscription for busy work. It is a studio that already knows your brand, available every month to handle the design work that keeps accumulating. No briefing from scratch. No waiting for a quote. Just consistent output from a partner who understands how you want to look.

Start with a project if: you have a specific deliverable in mind, you are not sure yet what ongoing design support you need, or you want to see the studio's work before committing to a longer relationship.

Move to a retainer when: design work is happening every month anyway, you are spending time managing freelancers instead of running the business, or consistency across your materials is starting to matter.

At FAA QOF, most of our retainer clients started with a brand project. The first engagement lets both sides figure out how to work together. The retainer is what happens when that works.
